Last Wednesday, I almost sent Ah-Lin's contract to the wrong person
Six clients pinging me at once. I was answering WeChat and tabbing through Notion at the same time, and I pasted Client A's proposal into Client B's group chat. In that moment I had to admit it: my brain just isn't enough.
AI's "working memory" is way bigger than we think
I read a study recently saying AI's context window (think: how much it can "see" at once) is orders of magnitude bigger than human memory. I lose the thread after three items in a meeting; AI can hold onto 100 turns of conversation, every doc, every detail, start to finish.
My friend Xiaoyang runs Xiaohongshu (Little Red Book) account ops out of Hangzhou — 8 accounts running at once. She dumps every client's "past preferences, banned words, last disaster" into one AI conversation, and runs every draft through it before posting. I asked if she wasn't worried about leaks. She said she uses a local notes tool (Feishu docs or similar) as a buffer, masking sensitive numbers before feeding them in.
I made this mistake too: thinking AI is "cleanest" if you ask once and use once. Actually the more you feed it, the more it behaves like a three-month veteran employee.

First step: Open Claude or ChatGPT, start a new chat, paste every scrap you have on one client (chat screenshots, style notes, past complaints) all at once, then ask: "Summarize what this client values most and hates most."
You'll be surprised by its memory. Not everyone needs this tool — skipping it for now is fine.

Just starting out (no clients yet): I wouldn't bother with this yet. Get one client working first. Even AI has a huge memory — you can't feed it if there's nothing to feed.
Got 1–2 clients: I'd suggest organizing your first client's "everything" into one doc, then letting AI read it before your next proposal. You'll find it remembers the client better than you do.
Scaling up (5+ clients): I'd jump in now, but use a local notes tool as a buffer — don't paste sensitive client info directly into public AI. Go with Claude Desktop, or a local model (Ollama running Llama, fully offline).
