I Moved 4,000 Gmail Client Emails Off — 3 Hours Solo

Last Wednesday night, I stared at 4,000+ client emails in Gmail

Not because I'd done anything shady — but because it hit me: every client relationship, every contract attachment, every thread of communication history was sitting on a US company's servers. One policy change or a false-positive fraud flag, and I'm walking around naked online. I'd known this for a while. Kept putting it off.

My friend Linda runs a cross-border e-commerce consultancy. Last year Gmail's risk-control locked her out for 14 days. She was mid-negotiation with a $60K client at the time. A backup inbox rescued her — but she came out of it drenched in cold sweat.

"De-Googling" became an actual conversation

English-speaking indie circles have a word for it: degoogle. Not "quit Google forever" — just stop putting all eggs in one basket. My friend Chen, an independent designer, pulled 20,000 client work files from Google Photos to his local drive last year, then synced them to his home NAS. His line: "If Google Photos shuts down tomorrow, I'm not exposed."

Concrete moves:
• Email export: use Thunderbird (free email client) or flip "Enable IMAP" on in Gmail settings, then a third-party app pulls your mail to local. IMAP is basically a "pass" that lets other software read your inbox.
• Replacements: ProtonMail or Fastmail for email; Proton Drive instead of Google Drive
• Passwords: Bitwarden (free) instead of Chrome's autofill

What it costs you today

• Money: $0 (all tools free; only upgrade if you want paid cloud storage)
• Time: 3–5 hours, mostly waiting on big downloads and filtering
• Skill floor: you need to use an email client. No coding. I got stuck on the IMAP step — turns out it's literally one toggle in Gmail Settings → Forwarding and POP/IMAP
• First step: open Gmail search, type has:attachment larger:5M, see which big attachments you actually want to keep

By stage

• Just starting (0 clients): skip it. Come back when you have 10 stable clients. No rush.
• 1–2 long-term clients: spend 1 hour downloading contracts and key attachments to local. Bitwarden password sync is a 5-minute add-on.
• Scaling (10+ clients / small team): do a real migration. Pick a Saturday afternoon. ProtonMail Business runs €4/month — cheaper than Gmail Workspace.

Not everyone needs this. But the day Gmail suddenly locks you out, you'll thank yourself for starting today — and if you're willing to start, the search bar is where it begins.

Proton Drive
