Your Customer Data Is on Someone Else's Server — Last Week Proved It

Last Tuesday morning, someone in the group shared a headline

Last Tuesday morning, someone in the group forwarded a news story: Russia's Yandex Cloud had its third data center breached. My heart sank.

Xiaolin, who does cross-border trade, popped up: "Good thing I don't use Russian cloud." But Lao Zhou, who runs online courses, hit back harder: "I'm on American cloud — so what? It's still someone else's hard drive." Nobody in the group responded.

What happened? Why should you care?

Yandex Cloud is one of Russia's biggest cloud providers, kind of like our Aliyun. When they say a data center was "breached," in plain English: the building housing those servers could lose power, get attacked, or physically fail. I used to think "cloud just means it lives on the internet" — I thought the same thing too — until a client contract dispute, where the opposing lawyer said "export your backend records so we can see," and it clicked: my data was sitting on someone else's hard drive.

It's not just big companies on the cloud. The Notion you use, the Salesforce for CRM, Stripe for payments, even Feishu where you keep client phone numbers — all cloud. You didn't buy your own server, but you absolutely handed your livelihood to someone else.

What can you do today?

Don't panic, but don't pretend it's not happening. Here's the three-piece kit I'd suggest:

1. Export your customer list weekly — 0 yuan, 30 minutes. In whatever tool you use, I'd look for an "Export CSV" button (CSV is a spreadsheet file, Excel opens it)
2. Photograph key contracts, store locally — 0 yuan, 10 minutes. Phone or USB drive, both work
3. Open a second cloud storage account — If you're on Google Drive, open OneDrive or Dropbox too, and sync those CSVs over

Cost: 0-30 yuan/month (most have free tiers). Time: 1 hour the first time, then 30 min/week to maintain. Technical bar: zero code, just Excel. First step I'd take: before clocking out today, open whichever tool holds the most client data and hit "Export."

For friends at different stages

Just starting out, no real clients yet: I wouldn't overthink this. Keep the customer list in Excel, copy it to a USB stick weekly — that's enough. Not everyone needs fancier tools.

Already have a client or two, starting to store real data: I'd spend 30 minutes every Friday afternoon exporting client data from every tool. I messed this up myself — I only built the habit after losing three months of follow-up records. Now it's no big deal, but starting a month earlier would have saved me one crying session.

Scaling up, already dependent on a stack of tools: I'd seriously consider something like Zapier — schedule syncs from Notion/Airtable customer tables into Google Sheets. About 30 yuan/month, saves a lot of headache. If efficiency is already stressing you out, this is the best bang for your buck.

Yandex Cloud
